Why SOPs Matter More Than You Think

Without SOPs, three things happen: quality becomes inconsistent (you do it differently every time because there's no standard to follow), delegation is impossible (you can't hand off a task that isn't documented), and you become the bottleneck (every question routes to you because you're the only one with the answers).

Start With Your Most Repeated Tasks

Don't try to document everything at once. Start with the three tasks you do most often. Client onboarding. Invoice processing. Order fulfillment. Whatever eats the most of your time.

For each task, write down every step in the order you do them. Don't edit. Don't polish. Just capture the process as it exists today. You can refine it later — the first version is about getting it out of your head and onto paper.

The SOP Template

Keep it simple. Each SOP needs five things: a title (what task this covers), a trigger (what starts this process), the steps (numbered, in order), the output (what done looks like), and the owner (who's responsible).

That's it. No formatting. No corporate language. Just clear instructions that a competent person could follow without asking you questions.

The Delegation Test

Once you've documented a process, try handing it to someone else. If they can complete it without calling you, the SOP works. If they get stuck, the gap in the SOP is exactly where you need to add detail.
